Expenses answers both questions. The employee photographs the receipt; the app reads it, verifies the invoice with the tax authority, checks the company policy and carries the reimbursement through approval to payment — no spreadsheet, no stapler, no "I'll look at it later".
Your reimbursement policy becomes a living document: the AI reads it and gives its opinion on every entry — right away, not at the end of the month. Try it with a dinner (illustrative limit: R$ 150 per person):
R$ 86,00 — Meals. Below the R$ 150 per person limit. Nothing outstanding: it goes straight to your manager's approval level.
Each amount climbs as far as it needs to, and no further: limits by user, category and currency. Watch the R$ 242,00 report climb the chain:
A badly classified reimbursement becomes a labour and tax liability. Expenses treats that as a serious matter:
The NFC-e QR code is checked against the tax authority: an invoice that does not exist, was cancelled or shows a different amount is blocked before it ever reaches the report.
Reimbursed expense, per diem or allowance? The engine classifies each entry (art. 457 §2 of the Brazilian labour code), flags the risk of it being treated as habitual pay and assembles the evidence file per employee.
The card transaction arrives before the receipt — the app knows what is missing, from whom, and chases it on its own. Predictive reconciliation, not retroactive.
Phone, web or chat: the photo becomes an entry with category, cost centre and project filled in by the AI. It works offline and syncs later.
Tax authority, duplicates (SHA-256 of the file), foreign currency conversion, mileage and policy — every line reaches the manager with an opinion already attached.
Spending limits decide the path; finance reconciles against the card; the ERP receives it in its own layout. And the employee sees the payment date — without asking.
